What we collect

Forms and reservations: name, phone, email, business type, what you want to store and notes you send.
My Yard accounts: contact and business details, agreements, invoices, payments, insurance and other documents you upload, authorized users and vehicles, service requests.
Payments: handled by Square. We keep a reference and the card brand and last four digits, never the full card number.
Site security: gate access logs and camera video of gates, entrances and common areas.
Website: basic technical data such as browser type. We don't use advertising trackers.

Why we use it

To answer enquiries, set up and manage rentals, bill and send receipts and reminders, keep sites secure, meet legal and insurance obligations, and improve our service.

Who we share it with

Only service providers who help us run the business (hosting, email delivery, form delivery, Square for payments), our insurers or advisers when needed, and authorities where the law requires. We don't sell personal information. Some providers may store data outside Canada.

Cameras and access logs

Signs at each site say cameras are in use. Video and gate logs are used for security and incident review, kept only as long as needed, and shared only with you about your own account, our insurers, or police on request.

How long we keep it

For as long as your account is open and then as long as needed for tax, legal and insurance records.

Your choices

You can ask to see or correct your information, or withdraw consent for optional uses, by emailing myyardkey@gmail.com. If you're not satisfied, you can contact the Office of the Privacy Commissioner of Canada.
